Implementing a Contract Management Tool for Users of an e-Sourcing Platform

Abstract [en]

This thesis project was carried out at the IT-company Trade Extensions in Uppsala, Sweden. Trade Extensions mainly work with providing advanced e-sourcing solutions to their customer organizations, which basically means professionally organizing different types of complex tender projects. These services are mainly provided through the company’s web platform TESS (Trade Extensions Sourcing Service). This project is a case study that was done with the purpose of examining the conditions for the company to implement a tool for contract management to their customers. The study was made with two main aspects in focus: Technical conditions and usability. The method used for this project consisted of several steps. First, a theoretical mapping and interpretation of the concept “Contract Lifecycle Management” (CLM) was made. After that, a number of interviews were prepared and conducted with representatives from four customer organizations of Trade Extensions in order to find out what potential end users of a contract management tool would expect in terms of functionality and usability. Business perspectives, such as organizational and juridical aspects, were also considered in order to interpret how they could affect or be affected by an implementation of such a tool. Based on the gathered data from the interviewees, a conceptual proposal on how a contract management tool could be a part of Trade Extensions’ existing services was made, based on both pure mockups, implementations made with existing functionalities at the company's platform and some programming in order to implement new functionality. This conceptual proposal was presented to the interviewees for a final feedback, after which an analysis was made. The conclusion was that a majority of the functionality needed for a proper contract management tool implementation is already existing at the company’s platform. The main challenges for Trade Extensions will be to introduce a constraint-based design that suits a contract management workflow, as well as the implementation of a reliable and robust tool for e-signatures.
